The main functionality are presented here for Gaya Recouvrement. This is in no way intended to be an exhaustive list.
Clients It is possible to define a set of preferences, that can be personalised for each client, such as the type and rate of interests for late payments, the penal clause, the conditions for returns, etc.
Debtor Based on the client’s preferences, they can be personalised for each debtor.
Entering new dossiers New dossiers can be entered using a fully automated procedure. There are no limits on the financial data (principal, accessories, etc.). Interest is calculated automatically. Printouts of delivery receipts and billing are generated automatically in line with the options selected for each client. Dossiers can be imported in a range of formats (csv, files from Internet forms, etc.).
Dossier follow-up / History The follow-ups make it possible to define or view the actions taken or those to be carried out for a dossier. The history is automatically updated through the automatic actions (reminder, transfer to third party, etc.), but may also be annotated manually.
The day’s operations This is a daily synopsis of all the operations to be carried out. Based on the list of tasks to be carried out, it is possible to request the performance of all the automatic operations, manually confirm operations or access the follow-up, historical records, dossier, etc.
Operations Operations make it possible to organize the follow-up of the dossier in full. They may be automatic or manual. When confirming an operation, several actions can be carried out automatically.
Scenarios It is possible to group operations together within a scenario. In this way, you will be able to process a set of items in a dossier in a fully automatic and transparent manner.
Schedules Schedules make it possible to manage payment agreements. They can be calculated factoring in interest on overdue payments and tracked in the same way as scenarios, based on operations.
Payments When entering payments, you can break them down with a high level of flexibility, allocating any amount to any type of debt (principal, accessories, interest on overdue payments or expenses), modifying the rate of fees, etc. The payment integrates the management of bank details for automatic remittances in banks.
Direct collection Direct collection offers users the same level of flexibility as for payments. When entering an item for direct collection, you can automatically create the invoice or add it to an existing invoice.
Transfer The flexibility of the options for payment can also be found in the statement: anything that could be modified at the time of the payment can still be modified at the time of drawing up the statement. There is also an option to perform compensations in statements. You will be able to automatically draw up all the statements based on the criteria and preferences for each client (reimbursement period, minimum threshold, etc.) and intervene after they have been validated.
Invoices You have a conventional billing module (discounts, quantity, etc.) enabling you to draw up both invoices and estimates, pro-formas or assets. The management of multiple addresses for clients enables you to identify the billing address. There is also an option for monthly billing.
Third parties You can manage legal advisors and bailiffs independently from one another, obtaining the various financial aggregates, as well as reports on amounts committed and amounts due.
Disbursements Gaya Recouvrement handles all processing operations relative to disbursements: request and management of client advance payments, viewing disbursements paid in advance with a view to compensation on statements or reimbursement requests, advance management of payments for the client and the agency.
Suppliers You will be able to use a comprehensive system for managing suppliers.
Employees Managers work on dossiers. Each manager may depend on a supervisor. Dossiers are allocated to them automatically based on a range of parameters. The management of sales associates and collectors, with personalized commission types and rates, is facilitated thanks to tools such as regular sales, commissions statement, etc.
User Each user of the software can be identified in a secure way (access codes). The security system offers total control over access to the various functionality.
Printouts All mail is drawn up based on Word documents (97 or later). This choice makes it possible to harness its capabilities to create a wide range of standard letters that can be fully personalized. Reports are developed using Crystal Reports, a leading report design software product. Furthermore, the Gaya Recouvrement printout module makes it possible to defer and control the time for launching all printouts, and manage printers independently from the operating system.
Accounting Gaya Recouvrement has been designed to ensure that all the financial operations that a debt collection agency may be required to carry out can be generated automatically in the accounting system. In this way, practically all accounting entries are no longer necessary.
